Reports

Find it Setup Reports

Eleven reports in three groups. Each one takes a period, can be narrowed to a property, and exports its main table as a CSV file you can open in a spreadsheet. Every one is built from the ledger, the leases and the work orders as they stand when you run it.

Financial

  • Money Collected — cash. What actually came in during the period, less what was returned in it. Pending payments are excluded, by day or by month, split by method, property and source.
  • Charges Billed — accrual. What you charged in the period by type, whether or not it was paid, with deposits shown separately because they are not income.
  • Delinquency and Aging — who is behind and by how long: 0–30, 31–60, 61–90 and over 90 days, with payments applied to the oldest charges first. Renters in credit are listed separately.
  • Owner Statements — per owner and property: collected, your management fee, owner-billed maintenance completed, and the net.
  • Security Deposits — what you hold per lease, what is short, what is waiting to be returned or applied.

Property

  • Rent Roll — every unit as of a date, with the lease covering that date, market rent against lease rent, recurring charges, deposit and balance.
  • Occupancy and Vacancy — occupancy by month rebuilt from the leases themselves, average unit-days, what vacancy cost at market rent, move-ins and move-outs, and days each unit sat empty.
  • Lease Expirations — what happened to every lease ending in the period: renewed, moved out, notice given, offer sent, past the notice deadline, holdover, or nothing done yet, with your renewal rate.

Operations

  • Maintenance — opened and completed counted separately, time to first assignment, days to close, cost by who paid, by vendor and by property.
  • Leasing and Applications — the funnel from application to decision, how long decisions take, credit scores, and every adverse-action notice still owed.
  • Insurance and Compliance — property insurance missing, expired or expiring within 60 days; vendors without insurance, a license or a W-9; renters insurance not verified.
Cash and accrual are never mixed in one figure. Money Collected counts payments on the day they arrived. Charges Billed counts charges on the day they were posted. Two questions, two reports — which is why the two will not agree, and should not.

The financial reports are limited to owners, admins and managers, and do not appear at all for other roles. The property and operations reports are open to any signed-in staff member. To put a report on paper, use your browser's Print or Save as PDF.
