Setting up your studio

Find it Admin Setup Guide

The Setup Guide is a checklist of the ten things a school needs in place before it can run properly. Work down it in order — each step builds on the one before, so setting up membership plans before you have styles and ranks will just mean going back.

  1. Studio profile. Add the studio name, contact email, timezone, address, and logo.
  2. Staff and roles. Give every instructor and front-desk user their own account and role.
  3. Styles and ranks. Define the styles you teach and the rank ladder students promote through.
  4. Class schedule. Create the classes students attend, with days, times, and durations.
  5. Membership plans. Set up the tuition plans and trial offers you sell.
  6. Students. Add a first student, or import your existing roster.
  7. Waivers and documents. Publish at least one waiver or contract template for signing.
  8. Payments. Connect payouts and card payments, or leave this for a cash-only studio.
  9. Account portal. Invite a family to the portal so they can pay and update their own details.
  10. End-to-end test. Check a student in, bill a membership, and take a payment to prove the loop.
The checklist is always telling the truth. Nothing here is ticked off and forgotten. Each step is checked fresh every time you open the page, based on what is actually set up right now. If you later remove your last membership plan, that step opens back up — which is the point. It is a picture of your studio, not a record of what you once did.

Two steps are marked optional: Payments, because a cash-only school does not need it, and Account portal, because you can run without giving families their own logins. The other eight are not really optional in practice.

Why the checklist is in the order it is. Each setup step on the left unlocks one part of the daily work on the right, and all four run through the student roster — which is why adding students before the styles, classes, and plans exist means going back and doing it twice.
