Subs, suppliers and bills

Find it Work › Subs & suppliers

A sub is a subcontractor who does part of the work. A supplier sells you materials. Both are kept in one list with their papers, their bills and their lien waivers.

Adding one

Choose + Sub or supplier, then say whether it is a sub or a supplier, and enter its company name, trade, contact, email and mobile number.

Their papers

Each sub has papers: insurance, workers' compensation, a license and a W-9. Add each one with + Paper, with its expiration date and a scan. When insurance expires, Cedar puts that sub's payments on hold and reminds you before it does. Choose the paper to see its file.

Bills

  1. Choose + Bill on the Bills page and upload the bill as a PDF or a photo.
  2. Enter the sub's bill number, the amount, the due date, the cost code and the project it belongs to.
  3. Enter any retainage you hold back.
  4. Approve it. An approved bill counts as project cost. Then pay it.

Cedar refuses a second bill with the same vendor and bill number, so a bill cannot be paid twice by mistake. A bill can be rejected or voided.

Lien waivers

When you approve a bill, Cedar asks the sub for a conditional waiver. Before you pay, the sub signs it in their portal, and their insurance must be current. Paying asks for the unconditional waiver. An owner or admin can pay without one, but only with a written reason. The waiver wording is Cedar's standard text. It is not a state form.

The sub portal

A sub signs in with a one-time link to their portal. There they see their papers, their bills, their waivers, and the scope and dates of their work.
