Invoices and progress billing
An invoice is a bill for work you have done or products you have supplied. It can stand on its own, come from an accepted quote, or be one progress draw on a project.
Creating an invoice
- Choose New invoice from the Invoices list, or convert an accepted quote.
- Add lines with + Manual item. Each line can carry its own discount, and the invoice can carry one too. The customer's account discount applies on top.
- Turn tax on for the invoice with Tax enabled on this invoice. The rate is the one you set under Sales tax.
- Choose Save as Draft while you are still working, or Save & Send when it is ready. Save & Send opens the invoice for payment. To email or text the customer a link to pay it, send it from the project, as described below.
Quick charges
For one amount with no line detail, use Quick Charge. It creates an open invoice with one fee line.
Progress billing
On a project's Money tab, choose + Draw. For each budget line, enter how far along it is, and Cedar bills the difference since the last draw. Cedar holds the retainage you set on the project and bills it back on a release draw. Choose Bill it and send to the customer to issue the invoice and send it to their portal, or Bill it, send later to keep it for now. Send the pay link again sends the link once more.
Reminders
Cedar checks every night. It sends a reminder before an invoice is due, on the due date and once it is overdue, each one only once per invoice. Reminders go by email, and by text where the customer has agreed to texts.
Changing an invoice
- A draft can be edited and deleted freely.
- An open invoice can go back to draft with Revert to draft to edit, but only before any money has been paid on it.
- Void & Close cancels an invoice. A paid invoice cannot be voided. Refund the payment first. Owners and admins void and delete.
