Collecting payments

Find it Money › Payments

Cedar takes payment from a bank account or a card your customer has saved, from a Cash App, or as a check or cash you record yourself. A customer can also pay an invoice from their own portal. Every payment shows on the invoice and on the Payments list, with its status.

Charging a saved method

  1. Open the invoice and choose Charge now.
  2. Pick the saved method. Cedar shows the amount, and any processing fee that is added to the charge.
  3. Confirm. A paid invoice shows as paid at once. A bank transfer shows as pending until it clears.

To pay several invoices with one charge, open Payments, enter the amount, and choose Auto-allocate. Choose Auto-allocate to spread it across the open invoices, and check each amount before you save.

Processing fees

If your settings pass processing fees to the customer, the fee is added to the charge as its own line, labeled Processing Fee. It is never added to the invoice total. If you absorb the fee instead, the customer pays only the invoice. The fee rates are not shown in Cedar.

Checks, cash and other payments

Choose Record on the invoice, pick the method, enter the amount and the date it was received. A recorded payment is treated as received at once, with no fee. Use the actual date if it came in last week.

Failed and pending payments

  • A declined card is kept in the payment history as Failed, so you can see the attempt.
  • A bank transfer is Pending until it clears. While it is pending, the invoice is locked against a second charge. If it is returned, the payment is marked failed and the invoice is open again.
  • If a charge could not reach the processor, Cedar records nothing, so you can try again. If a charge was slow to answer, check the payment history before you try again.

Refunds

Open the payment and choose Issue refund. Refund the whole payment with Full refund (sales + tax), or enter part of it. The processing fee is not refunded. Refunds are owners-and-admins only. A refund appears in the cash ledger on the date of the payment it reverses.

Moving a payment

Use Move payment or Reapply to move money from one invoice to another for the same customer, when it went to the wrong one.

Receipts

Each payment has a receipt you can print or email, and a refund has its own receipt. Open one with View receipt.
