Projects and the pipeline
A project is one piece of work for one customer, with its address, its scope, its dates and everything that goes into it. The pipeline shows every project by where it stands.
The stages
- Lead — you have heard about the work.
- Bid — you are preparing a price.
- Contracted — the customer has said yes.
- In Progress — the work is under way.
- Closeout — the work is done and the last items are being finished.
- Closed — finished.
On hold and Lost are marks you put on a project, not stages. A project on hold keeps its place in the pipeline, and a lost project leaves the open list. Hide lost keeps the lost ones out of view.
Starting a project
- Choose + New project on the pipeline, and pick the customer.
- Give it a name, a site address, a start date and a due date.
- Or choose ✦ Start with AI and let Cedar draft it from the client's messages and your files. See New project with AI.
The project page
The project page has tabs across the top: Overview, Estimates, Money, Schedule, Logs, People and Messages. The header has the buttons you use most: + Invoice, + Change order and Add expense. The totals across the top show the contract, what has been invoiced and collected, what has been spent, and the net.
Scope of work and project documents
Open Estimates on the project and choose + New document. A project document is a scope of work, a project plan or a subcontractor package. Start it blank, or choose Build with AI to draft it from your files. Edit the scope in Save scope. A document can be printed or saved as a PDF, and it can become a draft estimate or one package per trade.
Files and photos
Attach files to a project from its page, or attach a file that already sits on another record. Crew may upload photos and files from the phone. Cedar accepts the common document and image types and serves them with protection against being run as a program.
Who can see what
On the People tab, invite the client with Invite the client. Choose what the client can see in their portal. Send a new link with Send a new link if the old one is lost, or Remove someone who should no longer see the project. Crew see only the projects they are assigned to.
