Families can book a private lesson and pay you at the lesson

Booking a one-on-one no longer has to mean paying online first. A family can choose to pay the coach when they arrive, the time is held exactly as it always was, and the bill is raised straight away so everybody — the desk, the coach, the family — knows what there is to collect at the door. Your front desk screen also gains a private lessons page of its own.

    When a family books a private class they are asked how they would like to pay: now, by card, or when they turn up. Choosing to pay at the lesson reserves the time the same way paying online does — a booking that waited on money would defeat the point of offering it. No card is taken and none is kept on the account.

    It is each instructor's own choice, and it starts switched on

    Every instructor has a switch for it on their record, and it ships on, so a studio that already takes cash at the door carries on without visiting every coach. Turn it off for an instructor and the choice disappears from everywhere a customer could reach it — including a booking link you shared last month and a portal page somebody already has open. Each screen checks the switch again before it offers anything.

    The bill is raised immediately, so nothing is quietly free

    Not charged now must never turn into not owed. A lesson booked this way comes off automatic billing and its invoice is raised at once, so the family's balance, your collect buttons and the coach's list of the day all show what is outstanding. Your staff see it marked Pay at lesson with the bill left open, and the reminder it raises is the routine sort — expected cash filed next to real declined cards would only teach a front desk to ignore the declines.

    The lobby screen gains its own Private lessons page: the lessons the family already has booked, and the same booking the portal offers, in the same few taps. Booking there asks for their code first, exactly as paying does — committing an account to money is the same question one step earlier.

A front desk screen your families use themselves

Put a tablet in your lobby and families can sign in with the phone number you already have for them, see what they owe and pay it, check the week's schedule, look up their students and ask questions — without anyone behind the counter. People who do not train with you yet get their own way in, including signing up for events you have opened to visitors.

    Whatever you already have on file works: the account's number, a parent's, or the student's own. One number that reaches two families asks which one before anything opens.

    Four ways to prove it is really them, and you choose which you offer

    A six-digit code by text, the same code by email, their parent portal password, or — when none of those is possible — their ZIP code, their street number and the last four digits of a card you already have for them. Each one is a separate switch in your settings, so you can offer all four or just one. A phone number on its own is never enough, because anyone standing at the screen could type one.

    The last of those four lets them look, not pay

    An address is public and a card sits in a wallet, so that way in is treated as weaker than the other three. It opens the account so a family can see what they owe, which is usually why somebody locked out is standing there — but paying asks for a code first. It only works when all three details match and you have a card on file for them, it allows two tries before pausing for fifteen minutes, and every use is written to that family's access record and flagged to your studio.

    What they owe is the first thing on the screen

    The balance sits at the top of the family's page in the largest type on it, with how many invoices are open and which is oldest, and a button to pay. A parent who came in to ask about a class time still leaves knowing what is outstanding.

    Open invoices are listed with a Pay button on each, and payment comes off the card you already have for that family. It goes through the same billing your studio already uses, so the receipt, the fee and the bookkeeping are exactly what they would be if you had taken it at the counter.

    Families can switch which card you bill, but never delete one

    A family can see the cards and bank accounts on their account and choose which one automatic payments come off. Removing one is deliberately not offered here: a parent taking "the old card" off a lobby screen would switch off their own automatic payment without meaning to, and nobody would find out until it failed. Ask them to see you and you can remove it. You can also turn card switching off entirely.

    The week's schedule, readable without signing in at all

    Anyone standing at the tablet can read the timetable. Class times are not private, and asking a visitor to sign in to see when you run classes is the fastest way to send them back out of the door. Once a family is signed in, the same screen marks which classes their own students are in.

    Families can browse what you stock, pick a size, add it to a basket and pay with the card on their account. Prices, stock and tax are the same ones your store already uses. If a family has no card saved, the screen says so and sends them to you.

    A parent can ask what they owe and what it is for, when their student is next on the mat, or what is waiting to be signed, and get an answer in a sentence or two. It only ever sees the family standing there, and it cannot pay or change anything — it offers a button and the parent taps it. It needs an AI service turned on for your studio before it can answer; until then it says so and points at the front desk.

    It signs itself out

    A family is signed out after a short spell of nobody touching the screen, and always when they tap Done. You choose how long, from thirty seconds to ten minutes. Nothing is stored on the tablet itself, and the tablet can never open your studio's own dashboard — it is signed in as a kiosk and nothing else.

    You decide what the screen offers

    Billing, the pro shop, the schedule, students, documents and the assistant are each a switch. A member of staff turns a tablet into a front desk screen by signing in and choosing Front Desk, and five taps on your studio name opens a staff card behind your kiosk PIN for changing settings or signing the tablet out again.

    Open an event to people who do not train with you

    Tick one box on an event and visitors can sign up for it at the front desk screen. Set their own price, or charge them what your own families pay. Cap how many of the seats they may take — those come out of the event's capacity rather than on top of it, so a rush of strangers can never fill something your own families have not signed up for yet. You can require the waiver, require payment, and ask whether they would like to hear about classes. Somebody who signs up becomes a lead, never a membership, and nothing bills them again. This is off on every event you have already scheduled.

    Cancelling an event registration gives the seat back

    A cancelled registration still counted against the event's capacity, so an event could stay full after somebody dropped out and the seat could not be given to anyone else without deleting the row.

    Somebody who has never been in before can start a trial, sign up for one of your open events, or just read your prices and timetable and leave a number. You choose which of the three you offer, or turn the whole button off. Either way the front desk is told they stopped by, so nobody has to ask for their name twice.

A billing sweep: payment plans bill exactly what the family agreed to

We went back over every billing path with fresh eyes and fixed what we found. Payment plans no longer pick up extra bills from a cash payment, from the billing checker, or from a bank payment that was still clearing. Contracts billed weekly or every two weeks now end and renew on time. And a plan bought in one payment reads as "Paid in full" everywhere, instead of looking like a monthly charge to parents.

    Taking a payment plan's payment in cash no longer creates extra bills

    A family on a payment plan who paid at the desk, in cash or by check, could have new bills appear for months that were already covered by the plan. A membership paid in full could pick up a second full-price bill. Payment plans are now billed only from their own list of payments, whoever records the money and however it arrives.

    The billing checker no longer reports payment plans as missing bills

    The tool that looks for periods you never invoiced treated a payment plan like a monthly membership, so a plan paid in full showed every month since as a missing bill -- with a button that would have created them. It now recognizes a payment plan and checks it against its own payments instead.

    Contracts billed weekly or every two weeks now end on time and renew

    A term billed by the week does not divide evenly into months, so the last few days of the contract were never billed -- and the contract itself was never marked finished. It stayed open indefinitely and never renewed itself, even when it was set to. These contracts now finish on their end date and renew if that is how they were sold. The same applies to a monthly contract for a family whose first payment fell on a different day from their billing day.

    No double billing when the card processor cannot be reached

    Some changes to a membership rebuild the automatic payment behind it. If the processor could not be reached partway through, the old automatic payment was still running while we also started billing the new amount, so a family could be charged twice. Now the membership stays attached to whatever is genuinely still in place, and the screen says what happened instead of reporting success.

    A bank payment still clearing is not collected twice

    Changing a family's payment option while a bank payment was still on its way spread that amount across the new payments as well, so it was collected a second time when the payment landed. Changing the option now waits for the payment to settle and says so.

    Changing a bill date leaves a manual member manual

    Moving the billing date for a family who pays at the desk could switch them to automatic card payments without anyone asking for it. Families with no card on file could not have their bill date changed at all. Both are fixed: automatic payments are only rebuilt for families who already had them.

    A dollars-off discount follows a plan switch correctly

    Moving a family to a plan billed on a different schedule carried a dollars-off discount across unchanged, so $30 off a month became $30 off every week. The discount is now converted to the new schedule, the way it already was when you change how often a family is billed.

    Raising a payment early no longer charges the card early

    "Raise next payment now" exists so you can take a payment at the desk before it is due. On a family set to auto-pay, it was charging their card that night instead of on the payment's own date. Each payment now charges on its date, and turning auto-pay on no longer pulls a future payment forward.

    Payment plans are not quoted a card fee they are never charged

    At schools that absorb card fees rather than passing them on, the review screen, the membership and the signed agreement added a processing fee to each payment of a plan -- a fee the family is never actually charged. Those figures now follow your own setting for who pays the fee.

    A plan paid in full reads as paid in full

    A membership bought in one payment was shown as a monthly charge -- "$1,200.00 a month" in the parent portal, and the same on the staff page, the membership list and the phone. It now reads "Paid in full". The membership list also shows how a family is actually billed rather than the plan's own schedule, and a plan with a set number of payments reads "12 payments".

    A payment plan no longer shows warnings about automatic billing it does not use

    Payment plans bill each payment as its own invoice, by design. The membership page was showing a red warning that automatic billing needed fixing, and describing settings that do not apply. The page now explains how a payment plan is actually billed.

    A payment plan's schedule reads correctly after a change

    When a family moves to a different payment option mid-membership, the schedule could number payments past the end of the plan ("payment 7 of 4") and list a replaced payment beside its replacement. Payments a family no longer owes are marked as such, and a payment reduced to nothing reads "Nothing owed" rather than sitting there as owed forever.

    An option now reads "6 payments of $150.00 ($900.00 total), billed every 2 weeks" on the plan form, the staff screens and your sign-up link. Amounts over a thousand dollars are shown with a comma, and the contract total on the membership page says when it includes tax and card fees.

    Confirmations and errors on the membership page now appear in the app itself, matching the rest of Axion Dojo, rather than as plain browser boxes. When a payment cannot be raised, the reason is shown as a message instead of replacing the button's own label.

    Building a plan billed every two weeks and then switching it to several payment options left the form refusing to save with nothing on screen to explain why. It saves.

Every class running at the same time shows on the calendar

Schools with several programs often run three or four classes at once in different parts of the building. The calendar now shows every one of them: side by side when there is room, and listed together in one box when there is not. Each class can also have its own color, so you can tell your programs apart at a glance. Point at any class to see its details, and click it to open that class's roster.

    No class is hidden when several run at once

    Four classes at 5:00 do not fit side by side in one day of the week view. When the space gets too narrow to read, the calendar lists them together in one box instead: the time, how many classes are running, and a line for each class with its start time and how many students are enrolled. If the box is too short for every line, a "+2 more" button opens it so you can see the rest. The day view has room to show them side by side.

    A class uses the space the others are not using

    When classes share a time slot, each one takes a column. A class that starts after the ones beside it have ended now spreads into the room they leave, so a 6:00 class after a busy 5:00 is not squeezed into a narrow strip.

    Give each class its own color

    Classes used to take their color from their style, so every martial arts class was the same shade. Now you can pick a color for each class: choose from fourteen ready-made colors or pick any color you like. The class form shows a preview of how it will look on the calendar. Classes you do not change keep their style's color, as before. The color shows on the calendar, on the class's roster and in the list of classes.

    Point at anything on the calendar to see its details

    A small class block only has room for a name and a count, so pointing at it now shows the rest: the date and time, the program, the ages, the days it runs, its session dates, and how full it is. Private lessons show the instructor and students. Belt tests show how many students are registered. Events show where they are held. It works on the day, week and month views and on the lines inside a combined box.

    Edit a class from its roster

    Clicking a class opens its roster, and that panel now has an Edit class button, so changing the time, days or ages takes one click instead of a trip through a menu. Right-click still opens every option for that class.

Change how often a family is billed and the dates still line up

Moving a family onto a different billing frequency could list the wrong next charge and quietly leave months unbilled. Upcoming charges now count forward from the date the next charge actually falls on. And when a membership refuses to save, the screen hands you a reference to quote, with the full reason waiting in your Billing Log instead of somewhere only we can read.

    Changing a billing frequency no longer skips months

    A family billed monthly and moved to every six months could be shown next March as their next charge while their card was still due to be charged on the 1st of next month. Collecting that charge early then moved the schedule past five months nobody had billed. The list of upcoming charges now starts from the next charge that is really coming, so what you see, what you collect early and what the family is charged all agree.

    A membership that will not save tells you where to look

    “Something went wrong saving this membership” gave the front desk nothing to act on. The message now carries a short reference, and the full reason is written to your studio’s Billing Log under that same reference — so you can read it yourself, or quote it to us, without waiting. Nothing is charged when a save fails.

Every class time has a limit, a roster and a waitlist, right on the calendar

Set how many students each class time can hold, and the calendar shows it on every class: 14 / 16, 2 open, Full. Click a class to see exactly who is in it. Once a class is full, nobody else can be added by accident. New students go on a waitlist, and you move them in when a spot opens.

    A capacity for each class time

    Monday 5:00 and Monday 6:30 can each have their own limit: 16 in one, 20 in the other. The class form calls it Capacity, where it used to say Max Size, and leaving it blank means no limit. To change only the number, right-click the class on the calendar and choose Quick edit capacity. Everything else about the class is still edited in class setup.

    See how full a class is without opening it

    Every class on the day and week views shows how many students are enrolled against its limit, with a colored bar: green while there is room, amber when one or two spots are left, and a red Full when there are none. The month view shows the count next to each class name. If anyone is waiting, that shows too. A strip above the calendar totals the week: how many classes are full, how many are nearly full, how many open spots you have, and how many students are on waitlists. The numbers update the moment you add or remove someone.

    Click a class to see who is in it

    A panel opens beside the calendar with that class's roster. Type a name to add someone. Members whose membership includes the class but who have not been given a class time yet are listed first, so you can place your current members in a few clicks. The panel also lists every other time the class runs, with its count, so you can move a student to a time with room. Right-click any name to move or remove them. On a phone the panel opens as a sheet from the bottom of the screen.

    A full class is full

    Once a class reaches its limit, nobody else can be added to it: not from the roster, not by moving someone over from another time, and not while assigning a membership. The count is checked when the change is saved, so two front-desk computers trying to take the last spot at the same moment cannot both get it. To add one more student, raise the limit. If you lower a limit below the number already enrolled, nobody is removed. The class shows Over and takes no one new until it is back under the limit.

    A waitlist for every class

    Add someone to a full class and they go on its waitlist, in the order they were added. You can reorder the list. When a spot opens, the roster shows who is first in line with a button to move them in. Nothing happens on its own, because the family may no longer want the spot. A new family can wait for a spot before they sign up for anything. They need a membership or trial for the class before they can move in, and the panel says so.

    A list view of the week

    Next to Day, Week and Month there is now List: each day's classes as a list of cards, with the time, the class, the ages and the count. On a phone, the week view switches to this list, so you no longer scroll sideways through seven narrow columns.

    Two classes in the same hour used to be drawn on top of each other, so you could read neither one. Now they share the space side by side on the day and week views.

    Choose the class time when you sign someone up

    When a membership or trial covers more than one class time, assigning it now asks which time the student will attend, and shows how full each one is. Choosing a full time puts them on its waitlist, and the review screen says so before anything is created. A trial takes a spot like a membership does. When a membership is cancelled or ends, or a trial ends, the student comes off the roster and the spot opens up. A paused membership keeps its spot.

    Families cannot choose a full class online

    When a family picks a first class on your sign-up form, a full class still shows but is marked Full and cannot be chosen. The student is added to the roster of the class they choose. If it fills while they are paying, they go on its waitlist and you are notified.

    When you check students in from the phone, each of today's classes shows its count and whether it is full. Check-in itself works the same as before: a student taking a make-up class can still check in to a class they are not on the roster for.

One membership, several ways to pay for it

A program no longer needs a duplicate membership for every payment arrangement. Set a membership to offer payment options -- paid in full, a four-month plan, monthly tuition -- each with its own price, number of payments and length, and everyone stays on the same membership for rosters, attendance and reports whichever one the family picks.

    Simple or Dynamic pricing, chosen on the membership

    Every membership has a new Pricing Mode. Simple is how memberships have always worked -- one price, one frequency, one contract length -- and every existing membership stays on it untouched. Dynamic replaces the price fields with a list of payment options. Each option has its own name, amount per payment, frequency (including one-time), number of payments or ongoing, membership length, setup fee and auto-renew. Switching a membership to Dynamic turns its current price into the first option, so nothing is lost.

    Pick the payment option when you enroll

    Choose the membership, then how the family is paying. Each option shows its number of payments, the amount of each and the total, and the review screen lists every payment date before anything is created. A four-payment plan on an eight-month program bills four times and the student stays enrolled for all eight months.

    Paid in full and fixed payment plans stop billing on their own

    An option with a set number of payments raises each payment on its date and, when the family has auto-pay on, charges the card or bank account on file that night. After the last payment nothing more is billed, and the membership stays active until its end date. The membership page shows every payment and which ones are paid, and staff can raise the next one early to take it at the desk.

    Change a family's payment option partway through

    Moving from a four-month plan to an eight-month plan, or from monthly to paid in full, is one step on the membership page. What the family has already paid stays paid and counts toward the new option's total, and the rest is spread evenly over the payments still to come. You can adjust any of those amounts before you confirm; if the new schedule does not add up to what is owed, the screen tells you by how much.

    Each option can be offered to staff only, or on your public sign-up link as well. A family signing up online picks the membership and then how they would like to pay, and is charged that option's first payment.

Hear about a new sign-up the moment it happens

When a family fills out your sign-up form, a contact form or your website's form, Axion Dojo can now email you straight away, so you no longer have to open the app to find out. You choose which forms send an alert and who gets it. Embedded contact forms also work again.

    An email when someone signs up from outside the app

    Open Settings → Notifications and you'll find a new Signup Alerts card. Turn on the forms you want to hear about: your sign-up form, a contact form opened from its link, a contact form placed on your own website, and leads or trial requests your website sends in. Then add the email addresses that should get the alert. It tells you who it was, how to reach them and what they wrote. For someone who signed up and paid on your sign-up form, it also says what they signed up for and whether the payment went through. A button opens their account. Everything starts switched off, and only owners and admins can change it.

    Text-message alerts, once texting is on for your school

    The same card can send the alert as a text message to up to five phone numbers. It stays grayed out until text messaging is turned on for your school, and then you can switch it on. Anyone who texts STOP gets no more alerts.

    Contact forms on your website load and send again

    The code for placing a contact form on your own website, and the preview button next to it, pointed at an old address, so the form didn't appear or couldn't be sent. Both work now. If you placed a form on your site before today, copy the embed code again from the form's edit page and replace the old one.

A page you left open keeps working after you sign in again

If you signed in again in another tab, or came back after an update signed you out, a page you had left open could fail the next time you saved or sent something. All it showed was an error number, such as “The link could not be generated (400).” That page now catches up with your new sign-in by itself and finishes what you asked it to do. We also fixed prospect links that could open as “Page not found.”

    Send Prospect Form works on a dashboard that has been open a while

    Get Link Only and Send Email could fail with “The link could not be generated (400)” on a dashboard opened before your latest sign-in, even though nothing was wrong with the link you were making. They now make the link on the first click. The same goes for Get Link on the Marketing page.

    Saving and sending recover on their own, everywhere

    This covers the studio app, the phone app and the account portal families use, as well as the Unlock button on a locked screen. If a page was opened before your latest sign-in, it quietly picks up a fresh security check and tries once more, and you see the result you expected. Nothing is saved twice: the first try is turned away before anything is saved. When you come back to a tab you left open, it also checks itself before you click anything, so ordinary forms go through as well.

    A plain message instead of an error number

    When a page can’t recover by itself, it now says so in words: “That request could not be verified, so nothing was saved. Reload the page and try again. You are still signed in.” You also get this message on pages that were already open when the update arrived.

    A prospect link no longer opens as “Page not found”

    If you had recently used another Axion Software product in the same browser, opening a link from Send Prospect Form could show a “404 Page not found” page instead of your school’s form. That mostly happened to staff checking their own links. New links always open your school’s form, and every step after it, whatever else that browser has been used for. Links you have already sent keep working the way they always have.

Changing how often a membership bills no longer cancels it

Moving a member from monthly to every two weeks could fail with “Something went wrong” and leave the membership showing as cancelled, even though the new payment schedule was live. Both faults behind that are fixed, and a change that is interrupted now leaves the membership exactly as it was.

    A rebuilt payment schedule no longer marks the member cancelled

    Changing how often a membership bills, changing its bill date, or turning automatic payments off all replace the payment schedule behind it. The old one was being closed a moment before the new one was recorded, and the notice that it had closed arrived in that gap — so the membership was read as cancelled by the studio. The old schedule is now released from the membership before it is closed, so there is no gap to arrive in. Cancelling a membership and switching plans are unaffected; those end the membership on purpose.

    A make-up visit, a class running late, or a class nobody has put on the schedule used to leave the tablet on a blank "No classes are running right now" screen. Now the screen lists today's classes as big buttons -- tap yours and your class's photos come up. You can also type your name to find yourself. If you check in by name, the confirmation card asks which of today's classes you are here for, and there is a "My class is not listed" button for a visit that is not on the schedule.

Weekly and every-other-week memberships bill on the weekday you choose

The billing day tells us when a payment is collected. On a monthly plan that is a day of the month. On a weekly or every-other-week plan the field used to disappear, and payments simply fell on the start date's weekday. Now you pick the weekday: every Monday, or on an every-other-week plan the 1st or 2nd Monday of each member's two-week cycle.

    When a plan's frequency is Weekly, its billing day is a weekday: Every Monday, Every Friday and so on. When it is Biweekly, each member's two-week cycle starts on their first payment, and you pick the weekday in week one or week two: 1st Monday or 2nd Monday. A family starting on a Wednesday is next billed on the Monday five days later (1st) or twelve days later (2nd), then every other Monday from there. Because "every other Monday" can mean either week, a biweekly plan asks you to choose, and so does enrolling someone on one or switching them onto one. Monthly and longer plans keep the day of the month, as before.

    A plan's billing day fills in when you enroll someone

    A billing day saved on a plan was not carried onto the enrollment screen, so every new member was billed from their start date unless someone typed the day in again. Picking a plan now fills in its billing day, whether that is a day of the month or a weekday. You can still change it for one member before you create the membership. If you change the payment frequency on that screen, the field switches to match.

    Someone who starts on a Wednesday on a plan that bills Mondays has a five-day first period. The enrollment screen offers the same choice it already gives on monthly plans: charge only the days between, or the full amount. The review screen before you create the membership states the billing day in words, such as "Every Monday" or "The 15th of the month."

    Moving a weekly member's bill date moves their weekday

    Change Bill Date on a weekly or every-other-week membership now moves every later payment to the new date's weekday. Changing a monthly member to a weekly frequency keeps their next payment date and bills on that date's weekday from then on. The membership page shows the billing day as "Every Monday" rather than as a day of the month. Members already on a weekly plan keep paying on the same dates they do today.

    A calendar date only works for monthly and longer plans. The 3rd may be a Friday this month, but it won't be next month. Change Bill Date now asks for a day of the month and the month to start on a monthly, every-few-months or yearly plan. It asks for a weekday on a weekly plan, and for the 1st or 2nd of a weekday on an every-other-week plan. Before you save, it lists the next three charge dates. If the new date is later than the member has paid through, you can bill the days in between as one invoice. It's dated the day they were paid through, and it's charged automatically when the member is on auto-pay. You can also choose not to bill those days.

When two classes run at once, everybody can find themselves on the kiosk

The check-in tablet used to show one class at a time, so on an overlapping evening half the room was not on the screen at all. It now shows every class running right now, and you choose the shape that suits your floor from five, each pictured before you pick it.

    When two classes overlapped, the kiosk picked one of them and showed only its roster -- filtered to that class's program and age range. A six-year-old standing in front of a board that had settled on the teen class did not see a wrong list; they saw no photograph of themselves anywhere, and nothing on the screen said their class existed. The tablet now loads every class in the current window together, so a missed check-in stops being something you find out about from a report weeks later.

    There is no single right answer: a lobby with three overlapping classes and a school with three hundred students want different things. One board, grouped by class puts everyone on one screen under their class heading and is the new default -- nobody has to pick a class first, which is what makes it work for the youngest students. Side-by-side class columns gives each class its own column. A tab for each class keeps photos at full size. Find your name replaces the class list with an A to Z strip and a search box, for a large school. Classic is the old one-class screen, still there if you prefer it. Settings shows a small drawing of each one, so you are choosing a picture rather than a word.

    Staff can switch it from the kiosk itself -- tap Admin, enter your four-digit PIN, and the same five options are there with the same pictures. The PIN is checked on our side, not just on the tablet.     Assigning a membership now has a discount of its own: take a percentage off, or a flat dollar amount, and write down the reason -- a sibling, a staff family, a promotion you are running. You see the plan price, what comes off it and what the member will pay before you assign anything. It works on your own plans and on a custom membership, and the discount comes off the price for the payment schedule you picked, so a quarterly member gets a quarterly discount. A discount can never take a price below zero.

    Edit Membership now takes a discount alongside the price and the stop date. Members who pay automatically have their recurring payment rebuilt at the new amount, so the card is charged the discounted figure from the next payment on. For members you bill by hand, the bills waiting to be collected are updated. Anything already paid or already issued is left exactly as it was -- a discount only ever changes what happens next.

    The discount stays with the member

    A discount is not something you have to keep re-applying. When a contract renews it comes across and is worked out again against whatever the plan costs by then, so a percentage stays a percentage through a price rise. It follows a member who moves onto a different plan, and if you change how often they pay it is split to match -- a monthly discount becomes the right weekly one. The discount is recorded on the membership, on your membership list and in its history, so you can see who is on a reduced rate and why. It is never shown to the family: their bill reads the discounted price as the price.

Assigning a membership now stops at a review screen. It lays out the dates, what the family pays each period, the invoices it will raise and every payment in the term — and then you either go back and change something or create it. Nothing exists until you say so.

    The button on Assign Membership now reads Review. It opens the whole enrollment on one screen: both dates and what each one means, the price with any discount, sales tax and processing fee, the invoices it raises, how it bills, and the records and paperwork that go with it. “Back and edit” returns to the form with nothing created, as often as you like. Every figure is worked out by the same code that creates the membership, so what you read is what you get.

Membership agreements count the payments a family will really make

On a membership with a fixed term, the agreement a family signs counted one payment more than the school would ever take, and its total was too high by that one payment. This affected memberships paid every 2 weeks or weekly, and monthly memberships at schools that bill everyone on the same day of the month when the student joined partway through one. No family was ever charged the extra payment -- the billing itself was always right -- but the paperwork asked them to agree to more than they owed.

    A 12-month membership of $100 a month, paid every 2 weeks, printed 27 payments and a total of $1,246.05 on the agreement. It is 26 payments and $1,199.90 -- the same year, which is what paying more often is meant to cost. Paid weekly it printed 53 payments instead of 52. A monthly membership at a school that bills on a set day of the month printed 13 payments on a 12-month term when the student joined partway through a month. The last payment date on the agreement was off by the same one payment and is now right too.

Families book their own private classes, and belts are back on the student cards

The Private Classes tab in the parent portal was answering with an error page instead of opening. It opens now, and it does rather more than it used to: a family can see your instructors' open times as a list or on a calendar, narrow them to one instructor, book a class for their student, and pay for it there and then or leave it to the card on file. Separately, the belt beside each program on a student's card had stopped drawing and is back everywhere the portal shows a rank.

    On the Students list and the student record, the belt beside each program had stopped appearing, so a parent saw the rank written out with nothing beside it. The portal was not loading its own styling reliably, and the belt is drawn rather than a picture, so it was the part that vanished. Belts, and the portal's styling generally, now load the way they should -- including the promotion history, where each belt earned is shown.

    Tapping Private Classes in the parent portal returned an error page rather than the tab, so no family had ever been able to use it.     Settings has a Student Tags panel where you name your own labels and give each one a color. Nothing is set up for you and nothing is suggested — these are the words your school already uses, so the list starts empty and waits for you. Deleting a tag takes it off the students carrying it and changes nothing else about them; the panel tells you how many students that is before you decide.

    The filter bar takes tags. Pick one, or hold Ctrl (Cmd on a Mac) and pick several — several means anyone carrying any of them, which is how you get the competition team and the demo team on one screen. A Tags column shows each student's labels and sorts like every other column, and the filter travels with the status tabs, so switching from Active to Trials keeps the group you were looking at.

The date range does not filter the headcounts, because a label has no dates; it scopes one figure, how many tags you applied in that period, so you can see a group being built. It is on the phone as well.

    What used to be Email a Contact is now Contact Students, with an Email / Text switch at the top. Filter the list by tag, add the group, write once and send. The list only shows students the channel you picked can actually reach — an email address for email, a mobile number for a text — so you are not composing to people who were never going to get it. Texts go out one at a time through the same consent rules as any other message: anyone who has not agreed to texts, or who replied STOP, is skipped and named in the report afterwards, so you know who to reach another way.

    One plan can now be sold on more than one cadence. Pick the frequency when you enroll someone and change it afterwards, and the plan itself stays as it is. The price is the price: the amount is annualized on its current cadence and re-divided on the new one, so a $129 monthly membership taken every two weeks is $59.54 × 26 rather than a tidier number that quietly collects an extra month a year. The new cadence takes effect on the next billing date and nothing already billed is disturbed. Families can change it themselves in the portal only if you turn that on, only to the cadences you tick, and never on a contract membership.

    Billing opens on open invoices, all time

    The page opened on This Month with no status filter, so an invoice raised in July and still unpaid in September was not on screen when staff arrived -- the rows that need action were exactly the ones the default hid, while paid and voided rows got equal billing. Billing now opens on Open and All Time on both desktop and phone. Your existing links into billing still carry their own filters, so a past-due link lands where it always did.

    A test site rides test payment credentials -- no money moves and every card on file is a test number -- but its invoices, receipts and saved cards used to look exactly like a live school's. There is now a TEST SITE banner on all three shells, a warning on every screen that is about to create a charge, a TEST tag on invoice, payment and saved-card detail, and a full-width band across the receipt, the printed invoice, the refund receipt and the portal's printable invoice, since those are the ones that leave the building. The mark is stamped on each record when it is created rather than read from the site's current setting, so a school that converts from practice to live keeps its practice invoices labeled and its real ones clean.

    “The payment processor is unreachable” instead of blaming the customer

    A member adding a card was told “Cannot create Stripe customer.” Nothing was wrong with the member, the card or Stripe -- our own service was briefly down, and roughly fifteen different screens each invented their own sentence for it, sending staff hunting through Stripe for a problem that was never there. Every payment surface now separates an outage you should wait out from a refusal that will not fix itself, and says which one you are looking at. A school that has genuinely never connected Stripe is also no longer told the same thing as one whose connection was simply not reachable this second.

    A card collected during an outage could be recorded as money you never got

    Found while fixing the message above. If our payment service was unreachable at the moment staff collected a card payment, the charge quietly fell through to the path meant for cash and checks: it was written down as succeeded, the invoices were marked paid, and no card was ever actually charged. The school was out the money holding a receipt that said otherwise. A card payment that cannot reach the processor is now refused, with nothing recorded, so you can take it again when the outage passes.

    Established schools were labeled a test Stripe account

    The account page, Settings and the billing audit all read a value that nothing was ever writing, so every long-established school was told its Stripe account was in test mode. The audit had a second version of the same mistake: it decided live-or-test from whether the account was finished onboarding, which is a different question, so a live school with paperwork outstanding was stamped test as well. Both now report the account's real mode.

    The switch that decides whether customers can book a private at all was readable by the software and settable by nobody -- a school sitting on the wrong value had no way to turn private classes back on. It now leads a Private Classes card of its own on the Settings page, with the six related options moved in behind it and out of Kiosk Settings, where nobody was looking for them. The card also says why the portal is coming up empty when it is: switched off, or switched on with no instructor carrying an hourly rate, or on and working with a count of who is bookable.

    Right-click row menus on privates and instructors

    Both lists now open the same menu the accounts, students, memberships and billing lists already have -- right-click, long-press on a phone, or the kebab at the end of the row. Open the booking, the student, the account or the instructor; edit; jump to the calendar on the next class; narrow the list to one instructor; email or copy details. Assigning an instructor happens right in the menu, because the “Needs instructor” filter exists to be worked down a row at a time. Deactivating or deleting an instructor asks first, in a dialog that says what happens to their work: nothing is deleted with the person -- their classes and bookings are released back to “Needs instructor.”

    The booking link showed a grid of blank buttons -- 47 of them

    Two problems in one picker. Every open slot came out with an empty label, so the shared booking link and the portal picker both rendered a wall of unlabeled buttons. And the times were offered every fifteen minutes regardless of how long the lesson is, so a 30-minute class in a normal 8am-8pm day offered 47 overlapping starts. Slots are now labeled, and offered at the length of the class -- the back-to-back times an instructor would actually teach. The times immediately before and after each class already on the books are added too, so one 6pm booking no longer hides the 6:45 that would fit beside it.

    Tapping Private Classes could answer with an error page

    A phone stays signed in for a month, and your school's database only catches up with new features when a staff member signs in again -- so in the window between a release and that next sign-in, a school could tap Private Classes and get an internal error. The five screens that read this data now come up empty and say the one thing that fixes it: sign out and back in. The calendar loses only its private lessons rather than the whole calendar, and a parent in the portal simply sees nothing to book instead of an explanation aimed at somebody else.

    Picking a private class on the sign-up form could break the sign-up

    When a prospect chose a private class, the price summary silently stopped updating and the sign-up itself then failed -- after the card had already been saved with the processor but before the account existed. Private classes are a request to call back rather than a booking, and the form now treats them that way all the way through. Declining an option no longer counts as one being unavailable either, so nobody is told their choices have gone away when they simply said no to one.

    An outage, a slowdown or a scheduled maintenance window is now written once and appears at the top of every page here until it is resolved -- including the expected downtime, shown in your own clock rather than ours. It sits above the trial countdown, because “we are down” outranks “your trial ends in nine days.” Dismiss it and it stays gone until the message actually changes. If we cannot reach our own status service, you see nothing at all: a banner that broke your page would be an outage message that became an outage.

    Signing in survives an outage on our side

    The last click of signing in -- the hand-off from the login page to your school -- had exactly one service to ask, so a problem there stopped you at the door after you had already signed in and picked your site. A second, read-only service now answers when the first one says nothing at all.     A new Instructors page under the main menu, with an hourly rate, kiosk identity and optional availability. A staff login, an instructor and a student record are three separate things that point at each other rather than three copies of one person: link an instructor to their student record and their rank and attendance are read through it, so promoting the student promotes the instructor. An instructor who only teaches needs no login and no student record, and nothing asks for one.

    One-on-one lessons are now a third sellable thing beside memberships and trials. Book a student with an instructor on a repeating slot, and each occurrence becomes a real class on the calendar. Every session bills on the day it happens, through the same invoices and card-on-file everything else uses -- there is no second money path to reconcile.

    Move one Thursday without disturbing the series

    A booking says what was agreed; each session says what actually happened. A single class can be moved, canceled or waived on its own, and the rest of the series carries on untouched. Each session also keeps the rate it was booked at, so raising an instructor's hourly rate never re-prices lessons already on the books, and your studio setting decides whether a cancellation still charges -- staff can waive it either way.

    Families can book a private lesson themselves

    The Account Portal shows an instructor's open slots and books one against the card already on file. On your public sign-up form a private is a request rather than a booking -- a stranger should not be able to write a real slot onto an instructor's calendar -- so it reaches you as a lead to call back, priced from that instructor's rate.

    The kiosk asks which class they are here for

    When a student with a private booked taps in while a group class is also running, the tap-confirm card offers both. Only one class running asks nothing. A private counts toward rank and shows in reports as its own kind of attendance, and it deliberately does not spend a class from the family's weekly membership allowance -- they paid for that lesson separately.

    Group classes can name their instructor

    A class on the timetable can now say who teaches it. Because removing an instructor should never delete a booked class, their work is released rather than erased -- and the calendar and the instructors page both carry a Needs instructor filter with a count, so a departure surfaces as a short list of classes to reassign.

    Membership plans and trials now carry a class list: tick the classes that product buys, and those are the classes its members may check in to -- and the classes offered on the sign-up form when someone picks it. Leaving every box clear means every class, so a school that does not sell by class never has to think about it.

    The Enrolled list on a class was always empty

    A class page has always had an Enrolled list, and it has been blank in every school since the day it shipped -- nothing was ever writing the link between a class and the memberships that include it. There is now a place to set that link, and the list fills from it.

    Weekly class limits and class-count trials are honored at the door

    "Two classes a week" and "a five class trial" were stored, shown to the customer and never actually enforced. Both are now checked when someone checks in, anywhere they can check in, and a class-count trial finally counts down. One studio setting decides what happens on a check-in outside the limit -- flag it for staff and let them in, or refuse it. New schools start on flag, because turning a locked door on without asking is the wrong default.

    The sign-up form offers days the classes actually run

    Choosing a start date was a bare date box that would happily accept a day the school is closed. It is now a calendar showing only the days the chosen program's classes actually meet, with the first class named, so a new family arrives on a day there is something to arrive for.

    Announcements land in the portal, on a Studio Communication tab

    Broadcasts sit beside the Inbox on their own tab rather than arriving as 300 separate conversations that bury the messages a family actually wrote to you. A notice is filed only against the families the send genuinely reached, shown once however many addresses it went to, and read-only -- there is nothing to reply to when a message went to everyone, so the reader says so and points back to the Inbox. The Messages badge counts both halves.

    Portal management gets the row menu, and a confirm box you can read

    Contacts and the access log open the same right-click menu as the rest of the app -- copy a value, filter the log by it, send portal access -- instead of making you select a row first. The browser's own confirmation boxes are gone too: the question is asked in an in-app dialog that carries your school's name rather than a web address, with Cancel focused when the action is destructive.

    A link in an announcement is a link

    Web and email addresses in the notice window that opens at sign-in arrived as plain text -- readable, but not clickable, in a window that closes for good once dismissed. They are proper links now, underlined rather than colored alone, opening in a new tab so the announcement is not replaced by whatever you clicked, and a long address wraps inside the card instead of pushing the button off the edge.

    The free trial ribbon asks for a card, and the card page opens

    The countdown announced that the site would stop working and gave you nothing to do about it. It now carries a button to add a payment method -- and only when there is no card on file, because asking a school that has already paid is how a countdown starts reading as a dunning notice. Two things were in the way: the ribbon was never being told whether a card existed, and the page the button lands on could refuse to draw the card fields. Both are fixed.

The largest release of the summer. Two new pages under Finance, a card your customer can tap, the whole billing surface rebuilt for the phone, a belt-test checklist for the week before test day, and a real lock for the computer at the counter.

    A Membership List that shows every membership at once

    One roster page for the whole school, split into Recurring and Manual. On the recurring side the amount, the next charge date and the card on file are read live from Stripe and shown beside your own records, so a membership that has drifted out of step is visible without opening it. Search, filter and sort the whole list -- and the view you land on is kept in the address bar, so a filtered list can be bookmarked or sent to someone else.

    Scheduled Payments -- including the ones that were missed

    A new page under Finance answers both halves of "what is being collected automatically?" Scheduled lists what is coming; Missed lists everything that was set to collect itself before today and still has not -- the failed auto-pays that used to have no list to work from. Each row names the card, the amount and the processor's last error, and you can collect now or retry from the row.

    Tap a card to take a payment or put it on file

    Where a card reader is available, staff can take a payment by having the customer tap their card against the phone. Tap sits beside Cash, Check and Other, with "keep this card on file" alongside it, and a card can be saved to an account by tapping it with nothing charged. A tapped payment records, reconciles, refunds and reports exactly like a keyed card.

    Run billing from your phone

    Owners and admins can now do the whole billing job on the mobile app: the month's money at a glance, the invoice and payment ledgers with their filters, an invoice or payment opened in full, who is past due, and what bills next. Every report is on the phone too -- attendance, student count, retention, prospect conversion, sales revenue, invoiced revenue and sales tax.

    Membership totals that follow whatever you filtered to

    A row of totals above the list sums only the memberships currently on screen, so "how much is this worth" never needs a spreadsheet. Because memberships bill weekly through annually, the headline tiles are a monthly equivalent and say so, with the real money at each real frequency kept underneath, unconverted.

    Right-click any membership to manage it

    Membership rows open the same menu the accounts, students and billing lists already have: collect a payment, edit the price or stop date, change the bill date, switch plans, pause, reactivate, cancel, or jump to the member, the account or the account's billing. Actions that do not apply stay visible but greyed out with a note saying why.

    Show and copy a payment request link

    A payment request could only be emailed. Now the dialog can reveal the link with a Copy button beside it, so it can be texted, read out or handed to a parent at the counter -- plus "open here" to run the payment on your own screen. Emailing the request shows you the same link it just sent.

    Putting a card on file used to mean going to the Actions tab and searching for a student. The account page now links to Add Payment Method directly -- which is where staff already are when a parent hands them a card.

    The payment screen now shows what the card was actually charged

    When a processing fee is passed on, the collect screen reported the base amount -- an $85.00 membership with a $3.73 fee finished as "Payment successful -- $85.00" while the card was hit for $88.73. It now shows the charged total with the split spelled out. Only the reporting was wrong; the amounts charged and recorded were always correct.

    A belt test checklist for the week before test day

    Belt tests have a Checklist tab listing every registered student with the belt they are attaining, a box for Have Belt, a box for Have Certification, and a free note. The belt order tells you what was ordered; this tells you what actually arrived. Everything saves the moment you tick it, and the sheet prints -- blank too, for the instructor who works it on paper first.

    A "Not In Test" tab that shows who is missing

    The question a school asks a week out is "who is missing from this test", and it now has its own tab: every active student who is not registered, with their name, member or trial, their current rank in this style and their belt size. Add them one at a time or in bulk, from the desktop or the phone.

    Add students the style filter used to hide

    The picker only offered students with an active enrollment in the test's style, which meant a member who trains in the style without an enrollment record -- and every trial student -- could not be registered at all. A scope switch widens the list to all active students, labeling the ones outside the style.

    Belts written out in words, and black-and-white printing

    Print sheets and checklists spell the rank out in your school's own words -- "Orange Belt -- Tangerine, 1 stripe" -- so the printout and the screen describe a belt the same way. Test sheets can also print in black and white, which drops the color swatches and saves the toner on a roster nobody keeps.

    Right-click any belt test to manage it

    The belt test list was the last list in the app still carrying management buttons in the row. It now opens the same menu as everywhere else, grouped by what you are about to do: open the test, jump to the tab the next piece of work lives on, then the report, and archive, restore or delete.

    Belt test fees say what went wrong, and let you retry

    A failed fee could show an unreadable technical message and then stay stuck on "Charging..." until the page was reloaded -- so the one row that needed retrying was the one row that could not be. The row now reports a plain reason and returns to a working Charge button.

The Front Desk

    Lock the front desk instead of signing it out

    The front desk computer can be locked on the way past -- the button in the sidebar, or Ctrl+Shift+L -- and reopened with your own sign-in password. The page you were on, the work you had not saved and any other tabs are all still there when you come back. Because the lock covers the unattended desk, the desktop no longer signs you out after two hours; it stays signed in for 30 days, matching the mobile app.

    The lock screen shows your school, not ours

    It leads with your own logo and school name rather than the Axion Dojo mark -- staff recognize the school they work at faster than the software it runs on. It also has the same show-password toggle the sign-in page has, which matters most on the screen you are most likely to reach by mistyping a password.

    Sign out and Lock are icons in the sidebar footer

    The footer is one tidy row: who you are on the left, what you can do on the right. Only Sign out turns red on hover, a long name trims with an ellipsis instead of pushing the buttons off the edge, and on a narrow screen the targets grow to finger size.

    A school on a free trial sees a countdown ribbon on every page, on the desktop and the mobile app, turning amber in the last five days. The payment lock stands aside for a running trial -- a trial is precisely permission to use the product with no card on file -- and when it runs out, sign-in stops with a page that explains why.

    Choose exactly which apps a staff member can open

    Settings → Users replaces the old "Desktop only / Mobile only / Desktop + Mobile" dropdown with one switch per app: Web, Mobile, Front Desk and Kiosk. Front Desk and Kiosk could not be granted from this screen at all before. This also fixes a real lockout -- the old dropdown could save a user who was then offered the mobile app and nothing else.

    Mobile reports show all their filters

    Reports that filter by source, day, age group or member type rendered on the phone with those filters silently missing -- only style filters appeared. Both surfaces now build the filter list the same way, so a report on the phone offers everything the desktop offers.

    The button on a membership disabled itself, said "Adding..." and stayed that way forever -- it had never worked. It attaches the plan's documents now.

    An unreachable platform could switch a school off card payments

    If the platform could not be reached, the school's payment configuration was cached as empty and nothing re-read it, so a school whose Stripe account was perfectly fine stayed silently off card payments until someone opened Settings. A configuration that was never actually answered is no longer cached.

    Being both locked out and payment-locked was a dead end

    A school that was both behind on payment and screen-locked could not reach the unlock screen -- the two guards bounced the browser between them. The unlock screen now comes first: clear your own screen, then deal with the payment notice behind it.

    Tap could not be seen or reviewed before a device existed

    Tap was hidden until a device reported it could tap, which made the feature invisible on every browser and every phone without the native app. The option now always renders and answers honestly when selected, and a preview mode walks the whole flow without creating a payment or touching a card.

A small release with one real hole closed: announcements you had asked to be tracked were not always landing anywhere you could see them.

    Tracked announcements now show up in the contact log

    Ticking "Track this message" reported "Logged to 300 contact records" -- but when the announcement went to account addresses rather than to individual students, the family record looked untouched. Those entries now appear on the account, marked Whole account rather than pinned to one student. It also surfaces the "account created" note the mobile new-account flow had been writing all along.

    The contact log is on the phone

    Mobile account pages had no contact log at all, so a tracked announcement was invisible on that surface entirely. They now carry a read-only Contact Log card. Adding new entries stays on the student view, where that flow lives.

    The menu opens full width with every category closed

    A page loads with the sidebar at its normal width and all eight categories shut, rather than collapsed to an icon rail. The narrow rail is still there as a deliberate second step from the corner toggle, categories you open are remembered, and the menu no longer slides itself open on every page load.
